If you are subsequently employed or engaged (directly or indirectly) by CoINVEST, our employee privacy policies and legal obligations will apply.

This privacy statement describes the categories of personal information we may hold, how your personal information may be used or disclosed, and how your privacy is safeguarded in the course of our relationship with you.


The categories of information we collect and hold

We may collect and hold a range of different information about you for the purposes described in this privacy statement.

If you have applied for a position with us, the categories of personal information may include (but are not limited to) your name, address, contact details, date of birth/age, title, gender, identification documents, resume, educational background, employment history, education qualifications, residency/citizenship status, work permit/visa details, professional licences, referee details, results of psychometric tests, security/background checks, photos, video interviews, identity and police checks..

We may also collect personal information about you which may be considered sensitive or protected under applicable privacy laws.  Sensitive information may include ethnicity, criminal record, disability, access requirements, physical and mental health, vaccination status, and identify reference numbers.


How we collect your personal information

We may collect and record your personal information from a variety of sources, but mainly directly from you (such as from your job application, interviews, videos, verbal information over the phone, written correspondence, SMS, and emails that you may send through).
We may also obtain some information from publicly available sources (e.g., LinkedIn and facebook) as well as from third parties, for example, references from a previous employer, and medical reports and tests from external providers, or where we engage a third party to carry out background checks including police and identity checks, conference organisers, and recruitment agencies.
You may sometimes provide personal information about other individuals to us (e.g., your referee contact details). If so, you must have:

  • Obtained consent from those individuals for us to collect that information (if required under applicable laws)
  • Informed those individuals that you are providing that information to us and the purposes for which you are providing that information (if required under applicable laws); and
  • Advised them of the matters in this privacy statement.

You also consent to them providing information about you to us.


Your agreement to provide accurate information

You agree to provide your personal information, which is in all respects true, accurate and up to date and is not, in any respect, misleading, deceptive, or inaccurate or likely to be misleading or deceptive.


What is the purpose for which we collect and hold your personal information

We collect your personal information recruitment and career related purposes including to assess your application for employment, to verify your identity and other details, to contact referees and to conduct police and other background checks. Where applicable your information may also be used by our third-party provider/s to match your information with identity document issuers or record holders in applicable jurisdictions (e.g., VicRoads in Victoria).
We may also use your personal information for other closely related purposes such as keeping you informed of opportunities at CoINVEST.


When we disclose your personal information

We may disclose your personal information to our recruitment agencies and other consultants or service providers for the purposes outlined in this privacy statement above. These recipients will generally be in Australia but may also be located offshore (for example, if we were to transfer from our current job application system, which is hosted in Australia, to a job application system hosted by a service provider with servers located outside Australia).
We may also disclose your personal information in other third parties where you consent to the disclosure or where required or authorised by law.
COINVEST will not sell your personal information to third parties.


How we hold your personal information

We may store your personal information in hard copy or electronic format, generally in Australia but sometimes offshore, in storage facilities that we own and operate ourselves, or that are owned and operated by our service providers.
We will ensure that any restrictions imposed by applicable privacy laws in relation to the holding, use and transfer of personal information by CoINVEST to recipients (including overseas recipients, if applicable) are observed.
We will take commercially reasonable steps to maintain the security of your information and to protect it from unauthorised access, use and disclosure (including access restrictions and technological security controls).
If you have access to your personal information through our job portal, you also have a responsibility to ensure the security of access and you must not share your username or password with anyone.


Retention of your personal information

When your personal information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to delete or to make anonymous your personal information. However, most of the personal information we collect for recruitment or career related purposes will be kept by us on your candidate file for a minimum of 12 months.
Some personal information may be retained for longer time periods to comply with legal and regulatory obligations or for other legitimate business reasons.
If you are successful in your application for a role, we will retain your information as part of your employment record.
If you choose not to provide certain personal information (including any mandatory information), we may not be able to progress your job application or provide you with correspondence and other information regarding employment or engagement with CoINVEST.


How to access or correct your personal information

If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable (using the details below) so we can update our records.
If you wish to access or have a copy of any of the personal information that we hold, please also contact us using the details below. Please note that there may be some circumstances (e.g., exemptions under privacy laws) where we may not always grant your request.
To protect your personal information, we may require identification from you before making any changes to or providing access to the requested information.

This privacy statement has been issued by CoINVEST Ltd. From time to time we may need to change this statement. If we do, we will post the updated version on our website, and it will apply to all your personal information held by us at that time.
